Address Cleaning Options

there are a number of different approaches to choose from.
Bureau Cleaning Service
A simple solution for one off, or irregular cleaning requirements. Data is sent offsite and cleaned to NZ Post
SendRight™ certification standards with a high level of specialised expertise and returned with a Statement of Accuracy.
The data can be sent in almost any format, however a tab-delimited text file (*csv, .txt or .tdv) is preferred.
Customised Premium Cleansing Bureau Service
This is a premium solution which is useful where data quality is absolute, such as for financial or legal organisations
where a much higher degree of quality integrity is required. In these instances, data may be used to send out personal
financial information or is being re-imported into a CRM database and requires a more specialised approach with a higher
level of customisation and manual reviewing of your data.
Web Portal
The Web Portal is a standardised self-service data cleaning application. It enables customers with data files meeting
the required format to directly upload and download their data files to a website and have them cleaned to NZ Post
SendRight™ standards at a lower cost.
Address Quality Maintenance
Addressing quality can be maintained in a number of ways, from scheduled database cleaning, to cleansing of new data only,
to ensuring the correct information is being captured at time or point of entry.
Regular cleaning or cleaning of new records will ensure the quality of your data is maintained. Once data has been
cleaned and a delivery format for sending and receiving data agreed upon, subsequent standardised cleaning could provide
a very cost-effective solution and be relatively straightforward.
In some instances, an address validation tool could provide a software solution for organisations with a high number
of new record entries, who need to capture this correctly at the point of entry. Please contact us if you would like to

assist customers in maximising their level of accurate addressing standards.
If your customers move, how can you still get mail to them?
Let's face it, people move and don't always let you know where they have gone. How do you ensure you don't
'lose' a customer and in turn, reduce your incidence of returned mail?
Reducing your Gone No Address (GNA) issues, will reduce the costs associated with returned mail and give your
mail a better chance of getting to the right person. This can be achieved by matching your database against
the National Change of Address (NCOA) Register. This is a consumer opt-in service whereby notifications of
changes of address are stored and can be accessed by AddressWorks. If you would like to know more, then

Database Matching
There are a number of registers and databases such as the National Change of Address Register and Rural Database
that are consumer opt-in services provided by NZ Post. These allow reference checking against such things as last known
addresses. These assist in determining correct addresses for those not successfully matched against NZ Post PAF file.
Although an entire database is checked for matches using these services, only successful matches are charged for.
Deduping
Generally with databases used for marketing purposes, a deduplication will automatically occur against same,
or like names, at the same Delivery Point Identification (DPID).
Financial databases require a more refined approach needing a specialised level of expertise to ensure that
tighter deduping limitations are achieved.
The more customer information that can be supplied and matched against, the higher the results are likely to be;
ie name, address and date of birth would be better than just name and address.
Meshblocking
Utilising Census locational data and overlaying this against a client's database provides a geographic location for their
customers in the form of easily identifiable area units recognised as meshblocks. These are handy when carrying out profiling
or segmentation work to better understand your customers.
Manual Searching
Dependent on the level of data quality, sometimes a more specialised hands-on focus is required to achieve the necessary
level of address accuracy. AddressWorks has vast experience in dealing with some of the more unusual addressing exceptions and
assisting organisations to achieve the SendRight™ standard.
Merging
Often data is extracted from multiple data sources which can present problems for clients. This can be overcome through
merging the various input files and creating one output file.
